Description
The desk clerk is responsible for handling all rental inquiries following guidelines and materials provided in the Operations Handbook and in training seminars. This position also assists with the administrative operations of the Resident Services Office.
Requirements
Required Education, Experience, Knowledge & Skills: 1. High school diploma or G.E.D. 2. Previous experience in real estate, sales or other service-related industry preferred. 3. Strong customer service and interpersonal skills with effective oral and written communication. 4. Aptitude for basic office procedures. Knowledge of fundamental bookkeeping helpful. 5. Ability to work effectively with persons of varied ethnic, social and cultural backgrounds.
Essential Job Functions: 1. Receives phone calls, gives directions to the property, answers inquiries and provides rental information in a positive, enthusiastic manner, and welcomes visitors to the property. Qualifies prospective residents, determines their needs, and schedules appointments. 2. Gives daily tours of model and/or market-ready apartments and each morning and evening confirms their readiness for presentation. 3. Records all traffic and applies company procedures for guest cards and follow-up programs. 4. Assists Property Manager in contacting business and locator services to promote the property and generate traffic. 5. Verifies rental applications; checks credit, rental and employment histories; and present findings to Property Manager for approval. Notify prospective resident of results. 6. Executes lease move-in packet and resident move-out paperwork following company policies, including apartment inspection procedures. 7. Assists Property Manager with rent collection, banking procedures, report preparation and other administrative duties. 8. Assists Property Manager in compiling the property's monthly newsletter and assists in other residentretention and resident related programs. 9. Keeps office neat and orderly at all times. 10. Receives and records maintenance work requests ensuring full and accurate information, and updates the work order log for completed service requests. 11. Consistently maintains a professional, courteous attitude when dealing with residents, other staff members and the general public. 12. Other duties as assigned by supervisor.
Physical Requirements: 1. Ability to work inside and outside in all types of weather. 2. Light to medium work requiring extensive standing, walking, climbing, stooping, kneeling and crouching. Frequent lifting of up to 20 pounds. 3. Good eye-hand coordination with the ability to perform repetitive/continuous tasks according to set procedures and sequence. 4. Ability to discriminate between shades of color and identify from memory particular colors or color combinations.
Equipment and Tools Used:
1. Will be required to use general office equipment such as telephones, answering machines, faxmachines, copy machines, calculators/adding machines, typewriters and computer keyboard and operating systems.
